1. Entry requirements

There are no set requirements to become a personal assistant (PA), but you’ll need proven experience of administrative work.

Employers will usually look for a good standard of general education, including GCSEs in English and maths. A recognised qualification in office skills or administration, or a business-related foundation degree, HND or degree could all help you find a job.

Foreign language qualifications may also be useful if you plan to work in an organisation that deals with overseas visitors and clients. Having extra skills like shorthand and audio typing can also help you get in. 

Temporary work (temping) can be a good way of getting administration experience and can lead to a permanent job.

2. Skills required

3. What you'll do

Your day-to-day tasks may include:

• screening telephone calls and handling enquiries 
• organising your manager’s diary and making appointments
• dealing with letters and emails 
• arranging meetings 
• organising and maintaining office systems 
• taking notes at meetings 
• making travel arrangements 
• looking after visitors

Many managers rely heavily on their PA and give them a high level of responsibility, so in some jobs you may have extra tasks like:

1. standing in for the manager in their absence 
2. acting as office manager and supervising other administrative staff 
3. dealing with accounts and budgets 
4. taking on project work, like research or producing reports and presentations

4. Salary

Starter: £18,000 to £25,000

Experienced: £25,000 to £40,000

Highly Experienced: £40,000 to £50,000

5. Working hours, patterns and environment

You’ll usually work 37 to 40 hours a week Monday to Friday, possibly with extra hours to meet deadlines. 

You’ll be based in an office, but may travel to go to meetings and other events.

6. Career path and progression

With experience, you could take on more responsibility by moving to a larger company or working for a more senior manager. 

Promotion to management may also be possible.

Role Description

You'll work in:

• a 'third party' collection agency, paid to collect debts from businesses or individuals, or
• a company's finance or credit department, chasing late payments from suppliers and customers

Your day-to-day tasks may include:

• contacting individuals or business customers when payment is overdue
• checking credit records and tracing missing debtors
• setting up repayment plans and working with debt counsellors
• setting up and maintaining customer files
• processing payments
• starting legal proceedings if debts are not paid within an agreed time
• liaising with solicitors and bailiffs
• You may work at a debt collection agency as a 'field collector', travelling to debtors to collect payments in person.

3. What you'll do

You’ll be:  

• contacting customers and businesses 
• promoting products, services and special deals 
• following up sales leads and taking orders 
• updating customer records on computer systems 
• advising customers about delivery times 
• setting up appointments for senior sales staff 
• providing after-sales service

4. Salary

Starter: £15,000 to £18,000

Experienced: £20,000 to £25,000

Highly Experienced: £25,000 to £35,000 (managers)

Some companies offer a basic salary with extra bonuses and commission linked to sales targets.

5. Working hours, patterns and environment

You’ll usually work up to 40 hours a week on shifts between 8am and 10pm, Monday to Saturday.

You’ll be based in an office or call centre and spend most of your time using a computer. Some companies offer homeworking.

6. Career path and progression

With experience, you could become a team leader, senior salesperson or sales manager.

There are no set requirements, but some employers may ask for a marketing, business or finance degree.

Other employers will want you to have strong numerical skills and experience in retail, especially an understanding and interest in stock control levels.

The Fashion Retail Academy runs a number of short courses like a 3-day Introduction to Merchandising.

The Chartered Institute of Purchasing & Supply also has details of procurement and supply qualifications.

Both graduates and non-graduates need to apply for entry-level posts, usually as an allocator, distributor or merchandise administrative assistant. 

Doing a college course in retail operations or fashion retail could help you prepare for this job.

2. Skills required

You’ll need:

excellent number and data analysis skills, using spreadsheets and computer modelling

good decision-making skills

an understanding of what motivates customers to buy products

confidence when leading negotiations or presenting at board meetings

good interpersonal and communication skills to build useful working relationships

strong leadership skills and ability to influence others

excellent organisational and planning skills with ability to prioritise

3. What you'll do

You’ll use your high levels of product and customer awareness to predict demand. 

You’ll usually specialise in one area like fashion, food or home wares.

Your day-to-day duties might include:

planning product ranges and stock plans with buyers

planning budgets, forecasting sales and profit margins

presenting forecasts to managers

visiting manufacturers with retail buyers to learn about production cycles

negotiating prices and orders with suppliers, and agreeing delivery terms

tracking stock deliveries, making sure goods arrive on time and meet quality standards

setting prices and sales targets for individual stores

helping visual merchandisers to plan store layouts to promote key lines

promoting special offers and marketing initiatives

analysing sales figures and trends

staying aware of how competitors are performing

identifying and sorting out production and supply problems

managing, training and supervising staff

You may be called a product manager in a large retail chain and deal only with one or two product lines. In smaller companies you may be responsible for both buying and merchandising.

4. Salary

Starter: £16,000 to £18,000

Experienced: £22,000 and £25,000

Highly Experienced: £40,000 to £60,000

5. Working hours, patterns and environment

You’ll usually work between 9am and 5pm, Monday to Friday. You may need to work longer at busy times, like during special sales promotions or the opening of a new store.

You’ll be office-based but will also spend time visiting stores or suppliers, which could be in other parts of the UK or overseas. 

A driving licence and vehicle may be useful.

6. Career path and progression

You could be promoted to senior merchandiser and responsible for sales and budgetary control of a multimillion-pound department and managing a team of people. It’s typical to have reached senior merchandiser level within 7 to 8 years.

You could also become a merchandise manager, head of merchandising, merchandising director, retail business analyst or self-employed retail consultant.

Events managers often have a variety of backgrounds. You can do a college or university course in events management but it isn’t essential.

Whatever your qualifications or background, you should have practical experience gained from public relations, travel and tourism, or helping to organise events like live entertainment.

You could gain experience of organising events and activities in your social life. Paid or unpaid work as a crew member at large events or exhibitions can also be a good way of building contacts within the industry.

You’ll need:

• the ability to carry out a number of tasks at the same time 
• good communication and people skills 
• a creative approach to problem-solving

3. What you'll do

You’ll oversee the whole project, from planning at the start to running the event on the day.

Your day-to-day duties might include:

• discussing what the client wants 
• coming up with original ideas for events 
• agreeing budgets and timescales with the client
• researching venues, contacts and suppliers
• negotiating prices with suppliers and contractors
• booking venues, entertainment, equipment and supplies
• hiring and supervising contractors such as caterers and security 
• publicising the event 
• making sure that everything runs smoothly on the day 
• ensuring that health, safety and insurance regulations are followed 
• managing a team

4. Salary

Starter: £17,000 to £21,000

Experienced: £25,000 to £40,000

Highly Experienced: £50,000 to £80,000

5. Working hours, patterns and environment

You’ll generally work standard office hours, although you may work long and unsocial hours in the run up to events. 

If you manage outdoor events, you’ll have to work in all weather conditions. You may also go to events in the evenings and at the weekend. 

Depending on where you run the events, you may need to spend time travelling and staying overnight.

6. Career path and progression

With experience and a good track record, you could run events that have larger budgets and eventually progress to management.

You could work freelance or set up your own events management business.

Role Description

You'll need:

You’ll work with senior managers and other professionals to support changes to the way an organisation works, like:

• improving decision-making processes
• supporting the introduction of a new IT system
• developing a marketing and sales strategy
• Your day-to-day duties might include:
• speaking to managers to find out what they want to achieve
• carrying out fact finding tasks into business processes to see what they do and how they do it
• analysing findings and using data modelling methods to help recommend changes and improvements
• explaining the benefits of your recommendations and looking at the potential impact and risks
• agreeing the best way to put recommended changes into place with management
• overseeing testing and quality checks of recommendations
• supporting staff making changes and reporting any issues
• In some cases, you may be responsible for managing a project through to completion.

Entry requirements

There are no set requirements, but previous project management experience and a working knowledge of project development methods like Waterfall or Agile will be helpful. A technical background, like in software development or programming, can also help.

It may be useful to have a first or higher degree in subjects like:

• business information systems
• business management
• computing and systems development
• computer science
• Employers may look for recognised certification of your skills from a professional body, like The International Institute of Business Analysis UK (IIBA) or The Chartered Institute for IT (BCS).

What you'll do

You may work in:

• abattoirs – as a slaughterman or woman, humanely killing and preparing livestock
• wholesale meat factories – cutting, de-boning and preparing carcasses before they are sold to retailers
• butcheries – specialising in preparing meat in line with instructions from caterers
• meat or poultry processing plants – producing and packing products for the retail and catering industries

Depending on where you work, you may use knives and other cutting equipment, like a band saw, to cut and prepare carcasses. You may also have some delivery duties.

Role Training

There are no set requirements, but employers may prefer you to have some GCSEs.

Forklift truck experience may be helpful.

You may also need a driving licence for delivery duties.

You must be licensed and aged 18 or over to work as a slaughterman or woman

experience of working in transport or distribution a background in stock control or administration

2. Skills required

You’ll need:

problem solving skills and the ability to adapt plans

geographical knowledge

the ability to work under pressure and to meet deadlines

3. What you'll do

You’ll make sure freight is moved in the most efficient way around the country’s road network. You’ll need to take into account schedules, costs, and health and safety.

You might work for a road haulage company or other business with their own fleet of vehicles, like a retail chain.

Your day-to-day duties could include:

deciding how many vehicles will be needed to deliver each shipment of goods

working out how much it will cost to make each delivery

planning the safest way to load and unload goods

monitoring each delivery as it makes its journey

reviewing load plans with clients

making backup plans to cover changes in circumstances

You might also use computer software packages to help with some of these tasks, for example, to match the size of loads with the vehicles needed to move them.

4. Salary

Starter: £16,000 to £19,000

Experienced: £20,000 to £28,000

5. Working hours, patterns and environment

You’ll often work shifts on a rota, including early mornings and late nights.

You’ll usually be based in an office within a warehouse or distribution depot.

6. Career path and progression

You could progress to senior or regional load planner, or, with qualifications, you could move into distribution, supply chain or transport management.
